Executive Assistant

 

LAUNCH Technical Workforce Solutions is seeking an executive assistant for a client in Renton, WA.

 

 

General Position Summary:

Executive-level support.  Support multiple executives in all administrative aspects. This position requires multitasking including administrative support and project coordination/administration. Rapidly adjusting to changing work situations, accommodating different working styles, and prioritizing work will be critical. Excellent communication and professional interpersonal skills are essential.

 

 

Essential Functions/Major Responsibilities:

Provides executive-level support to assist high level client service personnel in maintaining organization and control over their practices. Support includes, but is not limited to the following tasks:

  • Proofreads and edits complex and detailed reports, proposals, and other documents
  • Creates and reviews expense reports
  • Writes, proofreads and edits engagement letters and proposals
  • Tracks projects including budget
  • Organize and coordinate engagements including:
    • Planning and ensuring meetings occur successfully
    • Reviewing client related-working papers and reports to ensure accuracy and consistency
    • Editing/proofing deliverables and reports to ensure high quality
    • Updating all databases required to track products/projects currently being worked on
    • Meeting project deadlines
  • Proactively work with senior management to keep things on-track, while being sensitive to competing priorities
  • Assists with Epicor processes and systems for scheduling, financial reporting, etc.
  • Maintains client files including engagement letters, contracts, non-disclosure agreements, etc.
  • Plans complex meetings and coordinates domestic and international travel
  • Uses Outlook to schedule appointments. Proactively reviews calendars and anticipates logistical opportunities or needs to assist
  • Formats and types a variety of correspondence
  • Collaborates with the Sales team to provide exceptional and efficient support including assisting with conferences and special events
  • Screens, prioritizes, and distributes mail to executives as assigned
  • Other administrative duties required by the executive team

 

 

Specific Job Skills:

Proficiency with spreadsheet and word processing programs. Strong written, verbal, analytical and interpersonal skills.   

                                                                                                                                            

 

Education and/or Experience:

High School Diploma/GED required; College coursework/degree preferred

A minimum of 3 years of experience in an administrative role.

 

 

Supervisory Responsibility:

None

 

Job Conditions:

Work is normally performed in a typical office work environment and very limited physical effort required.
