LAUNCH Technical Workforce Solutions is seeking an Administrative Assistant for an opportunity in Littleton, CO
Job Duties and Responsibilities:
Performs a variety of administrative duties for assigned supervisor/manager or senior staff member.
Essential Functions:
Tasks will include but are not limited to:
- The facilities support specialist is responsible for accepting customer requests for service work (Reactive Work) via telephone, email, Instant Message or through maintenance tools.
- The attendant will vet the information, respond to the customer, as needed, and gather additional information on the request.
- In emergency situations the representative will follow established protocols in contacting the local facilities respondent.
- Information on location and nature of the service request is submitted into the local facilities queue where it is reviewed, the shop order number is validated, work is estimated, prioritized, and routed to the appropriate Facilities Operations or contractor queue.
- Requests will be received and processed for all client owned, leased, and operated sited in the domestic US.
- While not responding to requests, the representative will be responsible for supporting other facilities teams with ongoing needs, such as data entry projects.
- Performs normal office functions such as setting up and maintaining alphabetical numerical and/or subject files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving referring or answering mail.
- May take and transcribe dictation; uses personal computers and standard desktop software to compose reports correspondence and memorandums; reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures.
- May provide guidance and direction as needed to lower-level secretaries and other clerical employees.
Functional/Technical Skills:
- Must be proficient with Microsoft Office (Outlook, Word, PowerPoint, Excel). Must exhibit strong customer service skills. Must be able to answer a phone in a calm and consistent manner. Must have strong communication skills.
- Require Working knowledge of IBM Tririga or IBM Maximo is encouraged.
- Experience Required 0 - 5 years work experience
- Experience Preferred Experience with IBM Tririga or IBM Maximo is encouraged.
